You can contact us about this notice or your personal information at info@securewire.net.
2. Scope of this notice
This notice explains how we use personal information collected through the public SecureWire marketing website, including enquiries, demo requests and launch proposal requests. It does not govern personal information processed within the SecureWire software for customers. Customer use is covered by the relevant customer agreement, product privacy information and data processing terms.
3. Information we collect
Information you provide through a form may include:
- your name, work email address and practice or firm name;
- your phone number, if you choose to provide it;
- your team size and the SecureWire modules that interest you;
- your enquiry type and the message you send; and
- correspondence and notes created while we respond to your enquiry.
Please do not submit client records, financial information, special category data or other sensitive information through a website enquiry.
When you visit the website, our hosting and security systems may process limited technical information needed to deliver and protect the site, such as your IP address, browser and device information, the page requested, and the date and time of the request. If you consent to analytics, the approved analytics provider may also process information about pages viewed, interactions, approximate location derived from an IP address, device and browser characteristics, and referral information. The website also uses the browser storage described in section 8.
4. How and why we use personal information
| Purpose | Lawful basis |
|---|---|

| Measure website use and improve content through optional analytics. | Consent. Analytics remains disabled unless and until the visitor chooses the Analytics category. |
| Meet legal, regulatory or evidential requirements and protect legal rights. | Legal obligation and legitimate interests in establishing, exercising or defending legal claims. |
We do not use the website enquiry form to subscribe you automatically to marketing emails. The waiting list has its own consent checkbox.
5. How enquiries are handled
The public website is hosted in the United Kingdom. It sends form enquiries by email to info@securewire.net through our email service provider. The enquiry is not stored in a database on the marketing website. Waiting list details are sent directly to Brevo, which stores the list for us. Authorised SecureWire personnel and approved service providers may access the information only where needed to respond, maintain the service, protect the website or meet a legal obligation.
Waiting list
We collect your full name, email address, company or trading name and Companies House number if you give it.
We keep a record of your consent: the wording you agreed to, the date and time, the page you signed up on, and confirmation of your email address.
We use these details to tell you about the SecureWire launch and early access.
Our lawful basis is your consent. You can withdraw it at any time by unsubscribing or emailing info@securewire.net.
Brevo, our email marketing provider, is operated by Sendinblue SAS in France and stores the waiting list for us.
We keep your waiting list details until you unsubscribe or ask us to delete them, or until we no longer need the list after launch.
6. Who we share information with
We may share personal information with the following categories of recipient where necessary:
- our website hosting provider, together with email, information technology, maintenance and security providers acting for us;
- an approved analytics provider, but only where the visitor has consented to analytics;
- an external calendar or meeting provider when you choose to use a booking link;
- professional advisers such as lawyers, accountants and insurers where reasonably necessary; and
- courts, regulators, law enforcement bodies or other authorities where disclosure is required or permitted by law.
We do not sell website enquiry information.
7. International processing
The public website is hosted in the United Kingdom. Some other service providers or authorised support personnel may process information outside the United Kingdom. Where UK data protection law restricts a transfer, we use an available lawful mechanism, such as a UK adequacy regulation or approved contractual safeguards, and apply appropriate security measures. You may ask us for more information by emailing info@securewire.net.
8. Cookies and browser storage
The website uses local storage to remember a colour-theme choice and whether ambient animation is paused. The storage keys are “securewire-theme” and “securewire-motion”. They contain display preferences and remain in the browser until the visitor changes the choice or clears site data. Optional analytics may operate only after the visitor gives consent through the consent control. Analytics and marketing technologies remain off by default, and consent can be changed or withdrawn through the Cookie settings link in the footer. More detail is provided in the Cookie and Browser Storage Notice.
9. External booking and email links
If a booking link is available, it opens an external calendar provider. Information entered on that provider’s service is handled under its own privacy information. An email link opens your email application; no message is sent until you choose to send it.
10. How long we keep information
| Record | Retention |
|---|---|
| Unsuccessful enquiries and related correspondence | Up to 12 months after the last substantive contact, unless earlier deletion is appropriate or longer retention is needed for a dispute or legal obligation. |
| Enquiries that lead to a customer relationship | Handled as part of the customer and business records under the applicable contract and legal retention requirements. |
| Website security and server logs | Normally no longer than 90 days, unless a security incident, investigation or legal requirement justifies longer retention. |
| Browser display preferences | Until you change the setting or clear site data in your browser. |
| Consent preference | Six months from the choice, unless you change it or clear site data sooner. |
11. Your rights
Depending on the circumstances, you may have rights to ask us for access to your personal information, correction, deletion, restriction, portability, or to object to our use of it. Where we rely on consent, you may withdraw it at any time. These rights can be subject to legal conditions and exemptions.
Right to object. You may object to processing based on legitimate interests. We will consider the circumstances and stop unless we have compelling lawful grounds or need the information for legal claims.
To exercise a right, email info@securewire.net. We may need information to confirm your identity before acting on a request.
12. Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator.

13. Automated decisions
We do not use website enquiry information to make decisions based solely on automated processing that produce legal or similarly significant effects.

We may update this notice when the website, our practices or legal requirements change. The effective date at the top shows when it was last updated.
