Practical guide

Build a document request clients can act on

A simple checklist for asking clearly, collecting consistently and preparing information for review.

Explain what the request is for

Start with the work you are helping the client complete. Use a plain-language sentence to connect the request to that work. A client who understands why information is needed is better placed to spot a missing detail or ask a useful question. Keep any technical terms that matter, but explain them in the context of the request.

Be specific about the period and the item

A request for bank statements can mean different things to different people. Specify the relevant period, account or business entity when that detail is needed. Use a separate checklist item for each distinct document. Before sending, have a colleague read the request as if they were seeing it for the first time.

Make the response route clear

Tell clients where to send the information and how to ask a question. Keep that instruction consistent between the initial request and later reminders. Avoid including sensitive client information in reminder subject lines. Follow your practice’s information-handling policies when choosing and explaining the route for document sharing.

Track the gaps as well as the arrivals

Receiving a file does not necessarily mean a request is complete. Your team may still need to check the period, the entity or whether all pages are present. Distinguish received information from reviewed information in your working process. Make the remaining gap specific so the next follow-up is useful to the client.

Prepare a useful review handoff

Bring together the information received, any open questions and the context gathered along the way. Agree who takes the next step. Keep your checklist reusable, but adapt each request to the client and the work rather than sending every possible item. A shorter, relevant request is easier to understand and maintain.
